KB05095 - Configuring message filters


Environment

  • BlackBerry® Enterprise Server software version 4.0 to 4.1 for Microsoft® Exchange
  • BlackBerry® Enterprise Server software version 4.0 to 4.1 for Novell® GroupWise®
  • BlackBerry smartphone



Overview

Background
Message filters specify the types of messages that are forwarded to your BlackBerry smartphone and how they are forwarded. Message filters for BlackBerry smartphones that are activated on a BlackBerry Enterprise Server are controlled in the following ways:
  • BlackBerry smartphone users can set their filters wirelessly on the BlackBerry smartphone
  • The BlackBerry Enterprise Server administrator can configure smartphone filters in BlackBerry Manager
Note: Filters are applied in the order that they appear in the filters list. If no filters apply to a message, the default filter is applied.
Filter synchronization process
The following process applies to filters created or edited on the BlackBerry smartphone and in BlackBerry Manager.
After you configure a filter, you might notice that messages are not being filtered although the filters and settings have synchronized and they are the same on the BlackBerry smartphone and in BlackBerry Manager. This occurs because the filters are not yet applied to the BlackBerry Messaging Agent.
The BlackBerry Messaging Agent scans the BlackBerry Configuration Database at a random interval (between 1 to 30 minutes) to find new or changed message filters. When the changes are read, they can take up to 15 minutes to be applied.
Note: Filters can take up to 45 minutes to become active after they are created or edited.

Configuring filters on the BlackBerry smartphone
To configure the default filter, complete the following steps:
  1. On the BlackBerry smartphone, go to the Messages Options screen.
  2. Click Email Filters.
  3. Configure the default filter on the Email Filters screen.
Note: The default filter is applied if no other filter applies to the message.
To create a new filter, complete the following steps:
  1. In Messages Options, click Email Filters.
  2. Display the menu and click New.
  3. Complete the fields to create a new filter.
  4. Display the menu and click Save.
To edit an existing filter, complete the following steps:
  1. In Messages Options, click Email Filters.
  2. Select a filter from the list.
  3. Display the menu and click Edit.
  4. Edit the fields.
  5. Display the menu and click Save.
To change the order of the filters, complete the following steps:
  1. In Message Options, click Email Filters.
  2. Select a filter from the list.
  3. Display the menu and click Move.
  4. Move the filter up or down in the list.
  5. Display the menu and click Save.

Configuring filters in BlackBerry Manager
To configure the default filter, complete the following steps:
  1. Select the BlackBerry smartphone user and click Edit Properties.
  2. In left pane, click Filters.
  3. Click Forward messages to BlackBerry device.
  4. Select an option on the drop-down menu.
To configure customized filters, complete the following steps:
  1. Select the BlackBerry smartphone user and click Edit Properties.
  2. In the left pane, click Filters.
  3. Click Filter Rules.
  4. To create a new filter:
    1. Click the dialog box on the right.
    2. Click New.
    3. Complete the fields.
    4. Click OK.
  5. To edit a filter:
    1. Click the dialog box on the right.
    2. In the Filter Name list, click on a filter name.
    3. Click Properties.
    4. Edit the fields.
    5. Click OK.
  6. To change the order of the filters:
    1. Click the dialog box on the right.
    2. In the Filter Name list, click on a filter name.
    3. Click Make First, Move Up, Move Down, or Make Last to move the filter.
    4. Click OK.
To configure global filters, complete the following steps:
  1. In BlackBerry Manager, select the BlackBerry Enterprise Server.
  2. Click the Server Configuration tab and click Edit Properties.
  3. Click Global filters.
  4. Double-click Global Filter Definition.
  5. Click New.
  6. In the Filter Rule window, create the filter.
  7. Click OK.
Note: Global filters are applied before user-defined filters.
