Default What does BES see; what can be tracked/logged?

You've seen or heard the question [probably] countless times:

"What can my BES administrator see on my personal device if I connect it to the BES?"

Since this question gets asked frequently, by both end users and administrators, I thought it would be good to include a comprehensive list of what the BES does/can log and what can actually be seen by a BES/Email administrator.

The BES can 'see' most things, although to be fair most of the data isn't actually stored on the BES, it's actually on the mail servers. That is, if I want/need to see someone's actual corporate email, that would be accessed from the mail server, not the BES.

What syncs/is stored/is accessed by the BES includes:
  • Corporate email
  • Corporate calendar
  • Corporate PIM data: Address book, memo pad, tasks
  • Browser bookmarks
  • Browser site history: Via the BlackBerry Browser
  • Password Keeper data: Although this cannot be accessed in any way, even when restored to another device, without the PK password
  • PIN messaging data: Including the actual message sent/received; logging turned off by default
  • Phone call data: Date/time of call, number called/received, length of call; logging turned on by default
  • Text message data: Including the actual verbage of the text message; logging turned off by default
  • MMS message text: Can view the actual verbage included, but not any photos sent
  • Blackberry Messenger data: Prior to BES 5.0 SP1, this one is extremely klunky to get and I don't know a single BES Admin that turns this one on. With the release of SP1 for BES 5.0, logging BBM data is done the same as PIN, phone call, and text message logging, so I expect more companies will be using this feature.
  • All applications installed on the device: Games, stock apps, etc.
  • OS version installed on the device: So we'll know if you upgraded to a beta OS!)
In addition anything that is a part of automatic wireless backup could *technically* be viewed by performing a restore to a new device.

What a BES Admin can't see:
  • BIS email messages (I *might* be able to see what service books you have, but cannot read the messages)
  • Browser site history (via internet/WAP Browser)
  • 3rd party IM messages (Yahoo!, MSN, etc), although I can see which of these applications you have installed.
  • BlackBerry Messenger contact names/PINs
What else should you consider?
If you are thinking about connecting your personal device to a corporate BES, you should also find out what sort of security policies your device will be subjected to. Every device on a BES has an IT Policy assigned to it (even if it's the 'Default' policy) which can allow/restrict certain functions. You'll want to find out things like:
  • Will a password be enforced?
  • If there will be a password, what is the maximum timeout and password criteria (length, strength, etc)
  • How often do you have to change the password and can you re-use old passwords?
  • Will the device lock upon holstering?
  • Will you be allowed to download 3rd party applications?
  • Will SMS/MMS messages be allowed or blocked?
  • Will your memory card be encrypted? If so, how?
  • Will the camera be allowed or blocked?
  • Will personal (BIS) email be restricted (i.e., you may be able to receive your BIS email, but you cannot send as the BIS account from the device)
There are quite a few other features that can be controlled, but the ones above are the most common. Best to find out what you're getting yourself into BEFORE you find out you suddenly can't do something you wanted to do.

Note: This post was written with 4.1.6 in mind (which is what I'm currently running), but hdawg confirmed that it also applies to 5.0 (so far anyway). This sticky will be updated as needed when any of these logging functionalites are updated on the BES.

Anyone have any insight as to why in the SMS.csv you often see lines like this?

Since it's SMS I assume it's not a video / picture .. ??

Anyone have info on BBM logging requirements in 5.0.1? The IT Policy looks to be the exact same. Is BBM 5.0/2.5 required as a client? This article is a little short on details:

Good detail but I need clarification on MMS. You say the actual verbage of a text msg is logged and readable if logging is enabled. Is this true for MMS messages and thus an actual photo is viewable by the administraotr if logging is turned on?

No, only the text portion of an MMS message is logged.

Default can my employer see my personal yahoo emails?

Hello, I own my blackberry and pay for my monthly service, but it is connected to my employer's Blackberry Enterprise Server. I have 2 email accounts, both of which I access through my blackberry. 1 account is for work and one account is a yahoo personal account. I never give work contacts my personal email and I never give personal contacts my work email. I keep business and personal emails separate. In reading these posts, it seems that my employer can (if they were so inclined) access my personal yahoo emails. Is that correct? Thank you for your help.

Thanks for your response. Two follow-up questions:

(1) If I delete my Yahoo account from my Blackberry, and then in the future access my Yahoo account through ONLY through a Browser window on my Blackberry, will that ensure that my employer will not see my future Yahoo emails?

(2) If I do what I outlined in (1) above, will my employer still be able to see my previous Yahoo emails that were received/sent through their BES? Or, does deleting the Yahoo account from my Blackberry erase the previous Yahoo emails?

I will appreciate any insights you can provide. Thanks!

Now I'm really confused. Isn't it true that if your personal Yahoo emails show up in your Universal Message Folder on your device, that your IT Personnel can see the emails through their BES? I thought this was the case. Please confirm or let me know what the reality is on this issue. Thank you!! This is obviously important to me and I appreciate your help to be sure I'm not exposing personal info.

BES admins cannot see BIS email. Period.

If your that concerned about separation of work and personal emails you may want to think about carrying multiple devices. Keep in mind... What is impossible today may become possible in the future.

Like not being able to (easily) log BBM conversations with BES 4.1 and now being able to easily log them with BES 5.0.....

Just found port3101 by a link from another site (crackberry) but wanted to offer a lmy insight to the question concerning if a employer can see the BIS email (personal Yahoo, gmail and such).

As already mentioned, BES admin's and such can't see the personal email from BES other than to know that it's there on the device. HOWEVER by default http & internet data requests go though the BES and out though the corporate internet connection SO while BES may not be logging that information, it's entirly possible that your employer could be monitoring their company internet connection including filtering access to non-business related web sites.

When you check your email on a BES activated device, most likely your are using your employer's internet connection to read your personal email. In my company, this is blocked yet every now and then I get a new BB user that asks me to troubleshoot why they can't read their Gmail, simple answer were I work: "Because you are not allowed to"

One of the goals of BES is maintain total control over the Blackberry device to assure that enterpise email and PIM data is delievered to the device, everything else is secondary and can be subject to the nature of controls that an organization commits to control of their assets.

Were I work as a BES admin, I can't read a user's Yahoo email from any logging on the server but I can trace your internet access back though my firewall and log everything you do on your BES activated device on the internet. Is it easy? No. Do I go to that trouble? No unless requested by higher up management when they believe policies are not being followed.

BIS mail goes over the blackberry.net APN and not through the BES/MDS. Only a carrier or RIM could log/read/intercept personal email as it stands now.

RIM could always do what they do for BBM and SMS and send copies of everything back to the BES. Right now they don't do this for BIS email.

That's not BIS.
Using a browser on the handheld to check web-based email is entirely different, and almost never done in my experience.

Hi all, and thanks to everyone who takes their time to participate in communities like this to educate noobs like me.

The initial post above is FANTASTIC and I learned a ton just by reading it. My question revolves around what email messages would be considered “BIS email messages” and what is meant when the above poster says "If a user integrates their personal email using BIS...".

Real world example: I have a company-provided BlackBerry Bold. Using SETUP > EMAIL SETTINGS > ADD, I have configured my device to receive my personal email from Hotmail, Yahoo, and Gmail. Would the messages I receive on my device be considered BIS messages and therefore invisible to a BES Admin? Nowhere in setting up these 3rd party providers did I ever see any screen saying “Blackberry Internet Service” so I am not clear if I integrated my personal email using BIS (meaning they aren't visible to my BES Admin) or if they would somehow still pass through the BES considering the way I set myself up (as described above). To be clear, I am not using the Blackberry browser to visit Hotmail.com and check my email like that. My hotmail messages are being delivered to my device’s inbox for Hotmail, which also shows in the general inbox that aggregates ALL messages from my company’s mail servers AND 3rd party providers.

Please advise… and thank you again.

Using the email setup icon to create an account on your device for consumer email is BIS. So it cannot be monitored by your company. Hence the reason (for now) they can disable this if needed to comply with any regulations.

Can someone tell me if i put my personal SIM card in my company blackberry device will the verbage of my sms messages be accessible to BES admins within the company?

Also regardless of whether personal or company sim is inserted, what about the verbage of whatsapp messages? Are they accessible to BES admins at all ?

Can anyone help with above query??

There is no way by default to grab this ... however there could be some app on your device installed by your BES Admin grabbing this. Not likely, but possible.

I was under the impression that Blackberry PIN messages were encrypted and cant be read. I also thought PIN messages bypassed Enterprise servers and were sent direct device to device. Can anyone confirm this?

PIN messages are either "scrambled" with a common encryption key (default) or "encrypted" using a corporate key so internal PIN messages are secure.

PIN encryption keys - Security Technical Overview - BlackBerry Enterprise Server - 5.0.2

All BlackBerry smartphones hooked up to a 5.x BES can have all PIN and SMS messages read by a BES Admin if configured to do so.
