Default Email Reconciliation overview and troubleshooting

Hello all,

I've seen quite a few posts about email reconciliation and I thought I would share what I know about it.

The most common thing I see is a post where something happened and then email reconciliation does not happen for 10 minutes and it used to take 2.

Well, email reconciliation was not designed to an instantanious process. In fact, it's low priority, really really low.

Here is an overview of email reconciliation:

1. Changes are made to an email in Outlook or on the BB

NOTE: When an email is read it's a property change of that item. That change is stored until the email reconciliation process picks up that change.

2. After a period of 15-20 minutes of no activity, the BES rescans the mailbox to make sure that nothing was missed or for some reason it did not receive any notification of new items

3. Upon the rescan the changes to any emails are made

Here is where email reconciliation becomes fun. Seeing as email reconciliation is a low priority process, it gets bumped. This means that if during the 15-20 minute time frame the user receives an email, the 15-20 counter resets.

So, if a user complains that email reconciliation takes a long time to occur without pressing the Reconcile Now option, check and see if they are a heavy user or if they receive a lot of mail.

This does account for a lot of reconciliation "issues". A general rule of thumb is this, if the user clicks Reconcile Now and email reconciles then it will happen on it's own, it's just a matter of when.

Now, if email does not reconcile in a few hours and the user does not use their BB heavily then something else is going on. Whether it be the BES or something else, RIM should contacted for a more indepth look.

On to troubleshooting

Most times email reconciliation issues are linked to the desktop[CMIME] service book or the reconciliation options are just set incorrectly.

First thing to check is the options. Go to Messages>Options>Email Reconciliation. The Delete On option should be Mailbox and Handheld for bidirectional reconciliation.

The make sure that Wireless Reconcile is set to On. Sometimes toggling that to off, saving it, then turning it back on solves the issue as well.

If you are missing the Email Reconciliation option then the Desktop[CMIME] serviec book is corrupt. You can delete and undelete it or delete and resend it from the BES. Also, you can delete it and wirelessly regenerate a new encryption key.

Sometimes certain databases can become corrupt on the BB, this will cause reconciliation not to work as well.

Use DTM to clear these databases and either complete and EA or regenerate the encryption key.

The folders to clear are:

Folder
Folder ID
Messages
Purged Messages
Service Books

This one is rare and a little extreme as you are erasing all the messages on the BB.

You can always search BlackBerry Technical Solution Center for 'email reconcilition' to find RIM's KB's on this topic. They do have lots of info on this as well.

Hope you find this info useful.

Are the emails deleting off your BB without you using the Reconcile Now option? If so, how long are the emails taking to delete on their own? There isn't much that can be done actually. There is no reg or hack to increase the time

When I delete a message I need to wait near to 30 minutes in order to see the update in my BB. When I use "Reconcile Now option" this process is done immediately

That's normal behavior for the BES. If you read what I posted earlier:

2. After a period of 15-20 minutes of no activity, the BES rescans the mailbox to make sure that nothing was missed or for some reason it did not receive any notification of new items

That means that if you use your BB at all or if you get email in Outlook then the 15-20 minutes starts all over again. 30 minutes is not a huge deal and there is no way to make it faster, except using Reconcile Now.
