KB15162 - What is Calendar Free or Busy lookup
Environment
- BlackBerry® Enterprise Server version 4.1 SP5
Overview
The Calendar Free or Busy lookup feature allows BlackBerry smartphone users to perform the following functions:
- Display the availability, for one week, of invitees when inviting them to a calendar appointment using the BlackBerry smartphone
- Access an invitee's calendar
- Set up meeting invitations remotely
Note: The maximum number of invitees that can be included in a lookup is 32.
To check the availability of invitees to a new meeting, complete the following steps:
- Create a meeting invite on the BlackBerry smartphone and add meeting invitees.
- From the new appointment screen, click View Availability.

- Wait while the invitees' calendars are compared. Once the comparison is complete, the results are displayed.
- Scroll to an available time slot and select the time slot.
- To search for the next time when all invitees are available, click Next Available Time.

Note: For invitees where no free or busy information is available, it is assumed that they are always available.
Note: For Calendar Free or Busy lookup to work correctly in a BlackBerry® Enterprise Server for IBM® Lotus® Domino® environment, the calconn task must be running on the BlackBerry Enterprise Server.
Calendar Free or Busy lookup can be set to True or False at the server level for a BlackBerry Enterprise Server. To change this setting, complete the following steps:
- Open BlackBerry Manager.
- With BlackBerry Domain highlighted in the left pane, select the Servers tab on the right.
- Highlight the BlackBerry Enterprise Server and select Edit Properties > Messaging > Free Busy Lookup Enabled.
Note: Free Busy Lookup Enabled is set to True by default on the BlackBerry Enterprise Server.
Additional Information
For the Calendar Free or Busy lookup feature to function correctly, BlackBerry® Device Software 4.5 or later is required.
